Job Title: Project Manager, Commercial and Residential Properties

Job Summary
Working under the direction of the Construction and Residential Projects Director (CRP) and in close partnership with the Family to execute their vision for each home, the Project Manager, Commercial and Residential Properties (“CRM”) will oversee a portfolio of construction and renovation projects primarily located within the U.S. with some global reach. The Project Manager will ensure the Family’s environmentally sensitive goals are being realized at each property, and all projects are successfully managed and executed on time, within budget and according to set requirements.
Reporting to the CRP and operating in full synch with the Family’s vision, the CRM manages numerous contractors and vendors to ensure that property construction, restoration, project budgets, service levels, and maintenance and improvement are achieved efficiently.
The CRM is well-versed in all construction methodologies and commercial level mechanical systems including but not limited to: Geothermal used in both heating and air conditioning; electrical systems; and water treatment systems. The CRM must have experience in writing and editing household maintenance manuals, checklists, and household manuals.
The CRM has exceptional organizational, interpersonal, and analytic skills and must be able to collaborate with a team of professionals of different disciplines to achieve the best results. The CRM is reliable, responsive, wears many hats, is a stickler for details, enjoys problems solving, and is willing to devote the amount of time required for successful project completion.
Responsibilities:
Construction, Residential and Commercial Projects
· Develop and maintain strong relationships with vendors/suppliers, architects, engineers, contractors, and subcontractors to ensure close collaboration and communication with Principals, architects, engineers, code, and enforcement officials.
· Ensure a consistent level of maintenance, quality of services, and the overall style, look, or design of each residence so that they meet the expectation of the principals.
· Coordination with design professionals, oversee management of general/subcontractors throughout the construction and renovation process, and management of multiple construction schedules and budgets.
· Consistently review details of project documents, drawings, and specifications to make sure all requirements are met.
· Maintenance of all commercial level mechanical systems including but not limited to: Standard HVAC; Geothermal used in both heating and air conditioning; electrical systems; and water treatment systems.
· Resolve problems as they arise from the plans and specifications, unknown existing conditions, and conflicts with a ‘can-do’ attitude.
· Participate in all project planning phases, from the early planning and design stages through completion, including but not limited to space planning, schematic design, design development, detailed project budgets, permit, construction documentation & administration, and project close-out.
· Supervise and monitor on-site construction, including communicating with & scheduling subcontractors, resolving day-to-day problems on site, and inspecting work during construction to ensure compliance with plans & specs.
· Schedule and conduct detailed inspections throughout projects and after each trade has completed its project tasks (before work is authorized for payment).
· Oversee the scheduling, delivery & use of materials, the quality of construction, worker productivity & compliance with building/safety codes. Maintain safe, clean, and compliant job sites.
· Executes the family’s environment sensitive goals by ensuring efforts are made to reduce the operational consumption of resources and manage waste through environmentally sensitive practices; and eco-friendly supplies are used in restoration and construction.
Property Management Support
· In conjunction with the CRP, ensure property managers are maintaining properties to set standard levels which includes things such as security management, maintaining stocked supplies, servicing equipment and machinery, small to large scale rubbish removal, and up to date estate records and permits.
· In conjunction with the CRP, ensure each property develops, documents and maintains systems and procedures for daily, weekly, monthly and annual property responsibilities and checks.
Contracts, Budgets, and Reporting
· In coordination with the Director of Finance, track & control construction costs against the budget to avoid cost overruns.
· Perform checklists and reports that help to track and manage all aspects of construction and renovation.
· Help establish project management best practices, processes, templates and reporting across all teams, projects, and properties.
· Provide timely updates and reports regarding issues and work in progress at the various residences to the CAO and Principal.
· In conjunction with the Construction and Residential Project Director, manage the processing of, and oversee all budgets, contracts, invoices, purchase orders, payments, change orders, correspondence, and other paperwork related to the portfolio of projects.
Commercial Office
· Supervise outside property management firm in the running of a Class A building in New York, NY
Cross-Office Collaboration
· Build effective relationships with Administrative, Property and Finance staff to smoothly carry out responsibilities.
· Liaise with Finance on all budget management and invoices.
Qualifications:
· Minimum of 10 years of construction and project management, commercial office building management, with either developers, architectural or construction firms, with at least 5 years in residential properties.
· Bachelor’s degree, preferably in Architecture, Engineering, or related degree.
· Working knowledge of design, installation and maintenance challenges associated with commercial-level mechanical systems including but not limited to Geothermal used in both heating and air conditioning, electrical systems, water treatment systems, etc.
· Optimistic and maintains a teamwork approach, especially with complex issues.
· Commitment to environmentally sensitive practices.
· Adaptable to the standards and desires of the principal.
· Strong negotiation abilities.
· Proven experience with successful individual and team project management.

· In depth knowledge of and experience with building codes, CPM schedules, contracts, plans, construction methods and regulations.
